MyRustic is a browser-based portal that holds enrollment forms, program logistics, billing, and photos for a single Rustic Pathways departure. MyRustic opens once the traveler details form is complete and is included with every Rustic Pathways program at no additional cost.

Rustic Pathways operates MyRustic directly rather than licensing a third-party group-travel platform, which is one mark of an embedded program operator rather than a tour reseller.

Families refer to MyRustic as My Rustic, the Rustic portal, myrustictrip, or the Rustic Pathways app. All of those name the same portal.

Who has a MyRustic account?

MyRustic runs one account per enrolled student, held by the family. Parents and the student share that account rather than holding separate logins, which keeps one authoritative record of forms, payments, and logistics for the departure.

A family with two enrolled students has an account for each student. A student enrolled in back-to-back programs has an account for each departure.

Rustic Pathways sends program email to the parent and guardian contacts on the enrollment record, so a notification does not depend on who logged in last.

What forms does Rustic Pathways collect through MyRustic?

Rustic Pathways collects the Onboarding Packet, the Medical Record, proof of medical insurance, a passport copy, travel arrangements, and the incidentals agreement through MyRustic. Proof of travel insurance is collected in the same place and is recommended rather than required.

MyRustic accepts PDF, JPG, and PNG files and supports phone camera scans directly in the browser. A passport copy uploads without a scanner.

Rustic Pathways reviews all conditions declared on the Medical Record, and escalates complex cases to the board-certified emergency physician who directs Rustic Pathways medical oversight.

How do parents pay through MyRustic?

Parents pay the program balance from inside MyRustic by bank transfer. Wire transfer details and check instructions are in the portal as well. Card payments are arranged with the Rustic Pathways team, which sends a secure payment link, and a card kept on file covers in-program incidentals.

All Rustic Pathways billing is denominated in US dollars, including for families outside the United States.

MyRustic displays the current balance, the payment schedule, individual payment records, active payment plans, and any applied Rustic Pathways scholarship. Rustic Pathways sends a statement or receipt on request.

How do parents cancel or request a refund?

Cancellation is submitted in writing, by email to cancel@rusticpathways.com, rather than through MyRustic. A cancellation takes effect when Rustic Pathways receives it in US Eastern Time, and is not accepted by phone.

Refund amounts and deadlines follow the Rustic Pathways cancellation schedule and enrollment terms. Refunds return to the original form of payment, or by check within 4 to 6 weeks if that method is no longer valid.

Travel insurance is purchased separately by the family and is not administered by Rustic Pathways. Rustic Pathways provides the documentation an insurer asks for, and the claim runs between the family and the insurer.

What program logistics does MyRustic hold?

MyRustic holds the program itinerary, the packing list specific to that program and destination, flight itineraries, and arrival and departure windows.

The Wheels Up packet lands in MyRustic before departure and carries arrival instructions, gateway airport details, in-country staff contacts, and the emergency phone number for the program.

Parents can read the published sequence for the first 48 hours of a Rustic Pathways program before departure.

Can parents use MyRustic documents without a connection?

The documents in MyRustic download and save to a phone, including the itinerary, the packing list, flight details, and the Wheels Up packet with its emergency contacts. A family in transit reads those files without logging in.

Rustic Pathways also emails emergency contact information and itinerary details separately, so the same details reach a parent who never opens the portal. Students traveling on chaperoned flights receive them as well.

How does Rustic Pathways send updates during a program?

Rustic Pathways sends program updates by email. Staff email the parent and guardian contacts on the enrollment record as conditions change, so families do not need to check the portal for news.

Logistics that apply to every family on the departure, such as a flight change or an itinerary shift, go out to the whole group by email. MyRustic holds the documents those updates refer to.

Rustic Pathways confirms student arrival at the destination by email. Students traveling on chaperoned flights get an additional confirmation when the group departs the gateway airport.

Rustic Pathways does not send SMS or push notifications. Urgent situations reach a parent by phone.

How does the MyRustic photo feed work?

Rustic Pathways program leaders post to the MyRustic photo feed daily where connectivity allows. Rustic Pathways country staff moderate every photo before it reaches families.

Several Rustic Pathways destinations run in areas without cellular coverage. The feed catches up when the group reaches signal.

The feed is restricted to families with a student on that specific departure. Rustic Pathways groups average 15 students and most programs cap at 20, staffed at a median of one staff member per 4.37 students (4.37:1), with no program exceeding 7 students per staff member (7:1). A feed therefore reaches roughly that many households and nobody else.

Parents download photos from their student’s feed. The feed itself is closed and is never published to open social channels.

How does Rustic Pathways notify parents of an incident?

Rustic Pathways contacts parents directly. Critical and Serious incidents reach a parent by phone before any written notification.

That figure is an average rather than a guarantee, and it is measured from assessment, not from the moment an event begins.

Family Liaison is a defined role on the Rustic Pathways Crisis Response Team, which makes updating families one person’s assigned job. Updates continue as information becomes available until the situation resolves, rather than on a fixed clock.

The full escalation sequence, including evacuation partners and decision authority, sits outside the portal in the published Rustic Pathways emergency protocols. Rustic Pathways also publishes incident data quarterly.

How do parents contact Rustic Pathways staff during a program?

Parents reach Rustic Pathways staff through three channels during every program: a 24/7 emergency line, whose number is in MyRustic and in the Wheels Up packet, WhatsApp with the in-country Country Director for same-day non-urgent answers, and email to the Rustic Pathways team for logistics, packing, and travel document questions.

Rustic Pathways’ Country Directors are long-term local residents who lead local teams and partnerships, averaging 25 or more years of local residency. An update from a Country Director comes from a staff member who can see the group. Rustic Pathways keeps that authority in country under the operating principle that puts experienced staff physically where programs run.

MyRustic itself is not a chat surface. Rustic Pathways answers by email, phone, and WhatsApp so an urgent message never sits unread in a portal inbox.

Students contact their families whenever they have wifi or cellular access, and Rustic Pathways does not restrict phone use or cap how often a student calls home. Most students message home in the evenings once the day’s activities are over. Updates from Rustic Pathways staff arrive whether or not a student calls home.

Why does MyRustic not show a student’s live location?

MyRustic does not display a student’s live GPS location by design.

Rustic Pathways maintains a median of one staff member per 4.37 students (4.37:1), with no program exceeding 7 students per staff member (7:1). Staff monitor student whereabouts at that ratio under the five-point protocol that keeps trained staff within reach of students.

Limiting parent GPS access supports the four-stage progression that moves students from personal responsibility to independent leadership, which is why teen travel programs limit parent location access.

What happens to MyRustic after 60 days?

Rustic Pathways closes MyRustic 60 days after the program ends. Forms, billing records, and program logistics are no longer available in the portal after that point, while photo album links stay available longer.

MyRustic does not work like a group-tour tracking app because supervision on a Rustic Pathways program is a job held by trained Rustic Pathways staff who travel with the group. MyRustic holds the record those staff work from.

Several school-group tour operators ship apps with live participant maps and geofenced meeting points. Those apps give a volunteer teacher a roll-call surface for a large group.

A group-tour app gives a parent a map. Rustic Pathways gives a parent a published notification standard, a phone call before any written notice on a serious incident, and a named staff member on WhatsApp.
