Rustic Pathways Refund Policy

Cancellation and Refund Policy Definitions

• Cancellation Date: The date and time Rustic Pathways receives written cancellation, based on Eastern Time (ET).
• Start Date: The originally scheduled check-in time for a chaperoned group flight at the designated Gateway Airport, or the program’s designated arrival time for travelers using self-managed airfare.
• Total Program Price: The Program Price plus Flight Support Fee (if applicable) and all third-party fees, permits, and licenses added once known.
• Enrollment fee: A required fee that is always non-refundable except for cancellations submitted within 24 hours of enrollment.
• Deposit (Group Travel): The initial payment amount listed on the participant’s invoice at enrollment.

General Refund Rules

• Refund eligibility is determined by the Cancellation Date (ET).
• Cancellation must be submitted in writing by email or trackable mail; telephone cancellations are not accepted.
• Refunds are issued to the original form of payment unless that payment method is no longer valid.
• After the Start Date, no refunds are issued for any reason.
• Airfare booked by Rustic Pathways is non-refundable once ticketed.
• The enrollment fee is non-refundable except within 24 hours of enrollment.
• Early departure, dismissal, illness, injury, or security or health concerns do not result in a refund after the Start Date.
• Families are responsible for all costs associated with a participant’s early departure.
• Families agree not to dispute charges or initiate chargebacks when fees align with this policy.

Student Travel Refund Policy

Within 24 Hours of Enrollment

• Full refund of all amounts paid, if any.

Summer Programs

Before March 31 (11:59 PM ET)

• Refund equals all amounts paid minus:
  1. Enrollment fee
  2. Airfare costs (if selected)

April 1 (12:00 AM ET) to April 30 (11:59 PM ET)

• Refund equals all amounts paid minus:
  1. Enrollment fee
  2. Airfare costs (if selected)
  3. 50% of the Total Program Price

After May 1 (12:00 AM ET)

• No refund of any amounts paid.

Spring Break Programs

Before November 30 (11:59 PM ET)

• Refund equals all amounts paid minus:
  1. Enrollment fee
  2. Airfare costs (if selected)

December 1 (12:00 AM ET) to December 31 (11:59 PM ET)

• Refund equals all amounts paid minus:
  1. Enrollment fee
  2. Airfare costs (if selected)
  3. 50% of the Total Program Price

After January 1 (12:00 AM ET)

• No refund of any amounts paid.

Winter Programs

Before September 30 (11:59 PM ET)

• Refund equals all amounts paid minus:
  1. Enrollment fee
  2. Airfare costs (if selected)

October 1 (12:00 AM ET) to October 31 (11:59 PM ET)

• Refund equals all amounts paid minus:
  1. Enrollment fee
  2. Airfare costs (if selected)
  3. 50% of the Total Program Price

After November 1 (12:00 AM ET)

• No refund of any amounts paid.

Group Travel Refund Policy

Within 24 Hours of Enrollment

• Full refund of all amounts paid, if any.

More Than 70 Days Before Program Start Date

• Refund equals all amounts paid minus:
  1. Deposit (as listed on the participant’s invoice)
  2. 100% of ticketed airfare

41 to 70 Days Before Program Start Date

• Refund equals all amounts paid minus:
  1. 50% of the per-traveler cost
  2. 100% of ticketed airfare

Fewer Than 40 Days Before Program Start Date

• No refund of any amounts paid.

Program Cancellation by Rustic Pathways

• Rustic Pathways may cancel a participant’s enrollment if required payments are not made on time.
• If Rustic Pathways cancels due to non-payment, no refund is provided unless the family qualifies for a refund based on the cancellation windows above.
• The policy does not specify any additional refund obligations for cancellations initiated by Rustic Pathways.
