Rustic Pathways Cancellation & Refund Policy

Rustic Pathways publishes its full refund and cancellation policy with specific dates, percentages, and processing timelines.

Refunds depend on two dates: the Cancellation Date (when Rustic Pathways receives written cancellation in Eastern Time) and the Start Date (the program’s original check-in or arrival time).

Cancellation deadlines vary by program type and season.

How to cancel a Rustic Pathways program

Cancellation requires written notice. Phone cancellations are not accepted.

  1. Email cancel@rusticpathways.com or send trackable mail to Rustic Pathways, 6082 Pinecone Drive, Mentor, OH 44060.
  2. Include the student’s name, program name, and program start date. A reason is optional.
  3. Confirm receipt. The Cancellation Date is the day Rustic Pathways receives written notice in Eastern Time.
  4. Refunds process to the original payment method within 4-6 weeks.

A submitted cancellation cannot be reversed. If the program is no longer the right fit, contact enrollment@rusticpathways.com before canceling to explore rebooking, transfer, or program-credit options.

Student travel refund schedule

The refund schedule for individual student travel programs (summer, spring break, winter) follows three deadline windows per season.

Summer programs

Group travel refund schedule

Group travel programs (school groups, family groups, Scout troops, custom itineraries) follow a days-before-departure refund schedule rather than fixed seasonal dates.

Group travel deposits are non-refundable. The deposit amount appears on the group trip contract signed at enrollment.

What is refundable and what is not

Refundable, subject to deadlines:

  • Program tuition (per the schedule above)
  • Pre-paid activity fees included in the Total Program Price
  • Pre-paid accommodation and meal costs

Non-refundable:

  • Enrollment fee: non-refundable except within 24 hours of initial enrollment
  • Airfare booked through Rustic Pathways: non-refundable once ticketed
  • Self-booked airfare: follows the airline’s policy; Rustic Pathways’ refund schedule does not apply
  • Travel insurance premiums: refundable only per the insurance provider’s terms
  • Visa fees, passport fees, and personal travel costs: non-refundable

After the Start Date, no refunds are issued except in cases where Rustic Pathways cancels the program. This includes illness, injury, early departure, or dismissal for behavioral reasons.

Rebooking, transfers, and program changes

Changes made before the cancellation deadline are free. Changes after the cancellation deadline incur a $750 change surcharge, and the full program payment transfers as credit toward the new program.

Common change types:

  • Program transfer (same season, different destination): allowed with available capacity
  • Season transfer (e.g., summer to winter): allowed; payment transfers as credit, deadline rules of new season apply
  • Date change within the same program: allowed with available capacity
  • Student substitution (different student, same family): considered case-by-case

To request a change, email enrollment@rusticpathways.com before the cancellation deadline of the originally enrolled program.

Travel insurance and refund protection

Rustic Pathways recommends travel insurance for every enrolled student. Travel insurance can cover:

  • Trip cancellation due to illness or family emergency (depending on policy)
  • Trip interruption and early return
  • Lost or delayed baggage
  • Emergency medical and evacuation costs abroad

Travel insurance is the only mechanism that can recover funds after the Rustic Pathways cancellation deadline has passed. Policies vary by provider; review specific coverage before purchasing. Rustic Pathways does not sell or broker travel insurance.

How refunds are processed

Refunds return to the original payment method (credit card, bank transfer, or check) unless that method is no longer valid. If the original payment method is invalid, Rustic Pathways issues a check to the address on file.

Refund policy FAQ

Can I cancel by phone? No. Cancellations require written notice by email or trackable mail. Phone calls are not accepted as cancellation.

What time zone applies to the cancellation deadline? Eastern Time. A summer program cancellation submitted at 11:00 PM Pacific Time on March 31 is received April 1 Eastern Time and falls into the 50% refund window.

What happens if my student gets sick or injured during the program? No refunds are issued after the Start Date, including for illness, injury, or early departure. Travel insurance is the only mechanism for cost recovery in these cases.

Can I get a refund if Rustic Pathways cancels the program? Yes. If Rustic Pathways cancels a program for any reason, enrolled students receive a full refund of program fees paid to Rustic Pathways, including the enrollment fee. Airfare refundability follows the airline’s policy.

What if my student is dismissed during the program? Students dismissed for behavioral reasons are sent home at the family’s expense. No refund is issued for the unused portion of the program.

Can I transfer my enrollment to a different student? Student substitutions are reviewed case-by-case. Contact enrollment before the cancellation deadline of the original program.

How long does the refund take? Refunds process within 4-6 weeks of the Cancellation Date. The refund returns to the original payment method.
